Alpha Windows Berkshire Ltd ("we", "us", "Alpha Windows") is committed to protecting your personal data and handling it responsibly. This policy explains what information we collect, why we collect it, and how we use it. It applies to all personal data collected through this website and in connection with our glazing installation services.

Alpha Windows Berkshire Ltd is the data controller for all personal data described in this policy. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Alpha Windows Berkshire Ltd is a FENSA-registered glazing specialist, registered in England and Wales (Company No. 04855552). Our registered office is 3 High Street, Iver, Middlesex, SL0 9ND.

What information we collect

We collect personal data in the following circumstances:

  • Quote requests — when you submit the quote form on our website, we collect your name, phone number, email address, postcode, and the products you're interested in

  • Direct contact — when you call or email us, we retain the information you provide in order to respond to your enquiry

  • Service delivery — if you become a customer, we retain your contact details, property address, and installation records as part of our business records and to honour our 10-year guarantee

  • Website usage — we collect anonymised data about how visitors use the site (pages visited, browser type, approximate location) through cookies. This data cannot identify you personally

We only collect information that is relevant and necessary for the purposes described. We do not collect sensitive personal data (such as health information or financial details) and we never ask for bank or payment card details through this website.

Why we use your information

Under UK GDPR, we must have a lawful basis for processing your personal data. The purposes for which we process data, and the lawful basis in each case, are:

  • To respond to your quote request — lawful basis: legitimate interests (responding to an enquiry you initiated)

  • To carry out and manage your installation — lawful basis: performance of a contract

  • To maintain installation records and honour our guarantee — lawful basis: legitimate interests (maintaining accurate business records)

  • To comply with legal obligations — lawful basis: legal obligation (e.g. FENSA registration, accounting records)

We do not use your personal data for automated decision-making or profiling. We do not use it for marketing unless you have specifically asked us to contact you about future products or services.

How long we keep your data

We retain personal data only for as long as is necessary for the purposes set out in this policy:

  • Enquiries that don't result in a booking are retained for up to 12 months, then securely deleted

  • Customer records (contact details and installation records) are retained for 10 years from the date of installation to support our guarantee obligations

  • Financial and accounting records are retained for 6 years in line with HMRC requirements

Cookies

Cookies are small text files placed on your device when you visit a website. We use cookies to understand how visitors use the site and to improve the experience. The cookies we use collect anonymised data only — they cannot identify you personally.

You can control or disable cookies through your browser settings at any time. Disabling cookies will not affect your ability to use this website or to submit an enquiry.

Third-party processors

We use a small number of trusted third-party services to operate this website. Where these services process personal data on our behalf, we ensure appropriate data processing agreements are in place.

  • Netlify — our website host and form processor. Quote requests submitted through this website are processed by Netlify before being delivered to us. Netlify's privacy policy is available at netlify.com/privacy

We do not sell, rent, or trade your personal data to any third party. We do not share your data with advertisers or marketing companies.

Your Rights

Under UK GDPR and the Data Protection Act 2018, you have a number of rights in relation to the personal data we hold about you. These rights are explained below, along with how to exercise them.

Right of access

You have the right to request a copy of the personal data we hold about you. This is known as a Subject Access Request (SAR). We will respond within one calendar month of receiving your request. There is no charge for a standard SAR.

Right to rectification

If any personal data we hold about you is inaccurate or incomplete, you have the right to ask us to correct it. We will action this without undue delay.

Right to erasure

You have the right to request that we delete personal data we hold about you, in certain circumstances — for example, if the data is no longer necessary for the purpose it was collected, or if you withdraw consent. This right is not absolute: we may be required to retain certain data to comply with legal obligations (such as HMRC record-keeping requirements).

Right to restrict processing

In certain circumstances you have the right to ask us to restrict how we use your personal data — for example, while you contest the accuracy of data we hold, or while we consider an objection you have raised.

Right to object

Where we rely on legitimate interests as our lawful basis for processing, you have the right to object to that processing. We will stop processing unless we can demonstrate compelling legitimate grounds that override your interests.

Right to data portability

Where we process your data by automated means and on the basis of your consent or a contract, you have the right to receive that data in a structured, commonly used, machine-readable format, and to have it transferred to another controller where technically feasible.

How to exercise your rights

Right to complain to the ICO

If you are unhappy with how we have handled your personal data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) — the UK's independent data protection authority. You can do this at ico.org.uk/make-a-complaint or by calling their helpline on 0303 123 1113.
